Managing a large product catalog can quickly become overwhelming, especially when each piece varies in size, frame, or format. To help artists, photographers, and creators streamline their process, Lumaprints introduces Bulk Mapping, a new feature that allows you to map multiple products and variations at once using Excel or Google Sheets.

Why Bulk Mapping Matters?

Bulk Mapping simplifies the process of connecting your store’s SKUs, sizes, frames, and variants directly to Lumaprints’ system. Instead of mapping each product individually, you can now upload a single spreadsheet that links your entire catalog in one go.

This tool is ideal for:

  • Artists with large product catalogs
  • Sellers managing multiple variants or frame types
  • Those looking to save time on setup and syncing

Requirements Before Bulk Mapping

Before getting started, ensure the following three steps are complete:

  1. Link your store to Lumaprints.
This establishes the connection between your online store and Lumaprints.
  2. Sync your store.
You can do this during the initial link or anytime you make major product changes, such as adding new sizes or variants.
  3. Upload high-resolution images to the Lumaprints Library.
The filenames of these images will later be used in your spreadsheet for mapping.

Once your products and image files are synced, you’re ready to begin the bulk mapping process.

Step-by-Step Walkthrough

Follow these steps to successfully bulk map your products:

  1. Log in to your Lumaprints account
From your dashboard, go to Manage Product beside your store and select Bulk Mapping.
  2. Export your products
Click Export Products to generate a spreadsheet of your current listings.
Choose an email address to send the file to, download it, and open it in Excel or Google Sheets.
  3. Locate the correct columns
Work only from Column S onward. Anything before that does not need to be edited.
  4. Understand key terms under Product Handling:
    • Update – Applies the new mapped item to your store.
    • Ignore – Disconnects the product from syncing with Lumaprints.
    • Custom – Makes the product a manual order, bypassing automatic processing.
  5. Add your image filenames
Include file extensions (e.g., .jpg, .png) exactly as they appear in your Lumaprints Library. If you renamed the files in the Image Library after uploading them, use the original file names from when they were first uploaded.
Tip: Ensure the aspect ratio matches the product size. A margin of 1% is allowed, but mismatched ratios will cause mapping errors.
  6. Choose your subcategory (Lumaprints Product Type)
Manually process a few products first to establish a template, then copy and paste the same naming structure for consistency.
  7. Enter width and length
The order doesn’t matter since Lumaprints will automatically correct orientation.
  8. Add product options (e.g., frame type, border style)
    For example:
    • Canvas → Mirror Wrap or Color Wrap
    • Avoid Image Wrap to prevent aspect ratio issues.
  9. Save your file
Once completed, save the document as an .xlsx file.
  10. Import products back into Lumaprints
Return to the Bulk Mapping page and click Import Products (top right).
For large catalogs, processing may take a few minutes.

Once uploaded, your file status will read Completed or Completed with Errors.

Common errors include incorrect option names or mismatched image ratios. You can download the report to see which rows failed and correct them easily.

Tips and Tricks for Easier Mapping

Bulk mapping becomes even faster with a few Excel tricks and organization habits.

Here are some helpful tips:

  • Use Filters: Sort and edit similar variants together, ideal for large product catalogs.
  • Leverage Excel Formulas:
    • MID Formula – Extract width from a consistent name pattern.
    • RIGHT Formula – Pull the length dimension automatically.
  • Include sizing in filenames: Example: artwork_18x24.jpg lets you quickly identify which file suits 18×24 or similar aspect ratios.
  • Batch edit similar items: Copy the mapped fields for similar variants and adjust only the subcategory and size.

Whether you’re an Excel expert or new to spreadsheets, Bulk Mapping was designed to be intuitive and user-friendly.

Conclusion

Lumaprints’ Bulk Mapping feature is a major time-saver for artists and creators managing large inventories. By using Excel or Google Sheets, you can now map hundreds, even thousands of items efficiently, ensuring a seamless integration with your Lumaprints store. Once set up, future product updates will be faster, cleaner, and more scalable. For any questions or issues during the process, Lumaprints’ support team and community are always available to assist.

I am not able to figure out the bulk mapping process. I loaded my file names, but it isn’t clear where and how to locate the other information. When I uploaded the spreadsheet, there was an error. However, I can’t even find what the error is. Is there someone who can work with me to upload this? I’m quite frustrated with it all.

    Thanks,
    Dan
